    Branch Administrator - Tsumeb, Namibia

    We are seeking a highly organised, detail-oriented, and professional Branch Administrator to join our team. The successful candidate will be responsible for overseeing financial administration, office operations, and providing confidential secretarial support to ensure the smooth running of the branch.

    Key Responsibilities

    Financial & Accounts Administration

    • Perform cashier duties and daily cash-ups.
    • Receive COD payments and sign off driver log sheets.
    • Manage branch cash sales.
    • Reconcile cash sales and petty cash (including reimbursements).
    • Maintain and manage the Debtors accounts, including follow-up calls and updating records.
    • Process Creditors expenses and stock as required.
    • Conduct trade reference checks for new credit applications.
    • Issue fuel orders.
    • Assist with inter-branch transfers of stock.

    Office Administration & Secretarial Support

    • Provide confidential and professional administrative and secretarial support.
    • Draft and type routine correspondence (letters and internal memorandums).
    • Monitor, screen, prioritise, and distribute incoming correspondence.
    • Filing, document control, and general office administration.
    • Front Office & Customer Service
    • Operate the switchboard and handle incoming and outgoing calls professionally.
    • Direct calls appropriately and resolve queries where possible.
    • Maintain a high standard of professionalism and customer service.
    • Assist the salespersons when required.

    Operational Oversight

    • Oversee general administrative operations within the branch.
    • Coordinate and maintenance of office equipment.
    • Maintain adequate stationery stock levels.
    • Assist with stock takes and checking of picking slips.
    • Ensure compliance with contracts, insurance requirements, government regulations, and safety standards.

    Minimum Requirements

    • Grade 12 Certificate.
    • Minimum 3 years’ relevant administrative experience.
    • Working in a stock environment will be an added advantage.
    • Strong numeracy skills.
    • Basic bookkeeping experience.
    • Computer literate (Windows, Microsoft Office, Any accounting system).
    • Professional and friendly telephone etiquette.
    • Strong interpersonal skills.
    • Adaptability and ability to work under pressure.

    Administrative Manager - Walvis Bay, Namibia

    We are seeking a highly experienced Administrative Manager to oversee administrative and financial operations reporting directly to the Financial Director.

    Key Responsibilities Include:

    • Managing admin and finance operations of multiple companies
    • Oversee and manage all administrative employees
    • Daily processing of trading bank accounts and monthly reconciliations
    • Processing all other bank accounts
    • Perform inter-company, petty cash and all cashbook reconciliations
    • Maintain and review new customer account applications
    • Overseeing supplier capturing and approving supplier reconciliations
    • Load and manage banking payments, beneficiaries and banking profiles
    • Asycuda and ITAS reporting
    • Providing financial and administrative support to operations

    Minimum Requirements:

    • Tertiary qualification in Finance/Accounting
    • Minimum 7 years’ relevant accounting experience
    • Strong accounting, reconciliation and financial control skills
    • Strong leadership, communication and analytical skills
    • Proficient in Sage 200 Evolution or similar accounting/ ERP systems
    • Sound knowledge of clerical and administrative procedures
    • Able to work in a team environment
